OFFICE MANAGER
The office manager will be responsible for a diverse set of administrative tasks that organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
Responsibilities
  • Manage and coordinate office operations
  • Manage office equipment, maintenance and service contracts and systems
  • Manage telecommunications (cell phone plan) systems and provide general support to staff
  • Control correspondence: answer phones, take and deliver messages, retrieve and send mail
  • Work with accounting staff to process and track bills and payments
  • Maintain administrative filing system, paper and electronic
  • Assist with human resource management: implement policies and procedures, manage benefits administration, orientation and training
  • Office scheduling: staff, trucks, and vacations
  • General banking: deposits and account maintenance
  • Data entry: log scale tickets and forest inventory
  • Order office and field supplies
  • Make travel arrangements
  • Scan or copy files as needed
Job Requirements
    Education
  • Education gained through experience doing similar work is suitable. A college education would be beneficial.
     Knowledge / Experience
  • 3-5 years of experience as an Administrative Assistant or Office Manager is desired.
     Skills
  • Proficient in using computer software, such as MS Office and Quickbooks
  • Ability to take initiative, problem solve, and make decisions within job scope
  • Schedule management skills
  • Good written and oral communication skills
  • Strong track record of customer service and effective people skills in a human services environment
  • Good understanding of processes, policies and procedures required in a small company environment
  • Excellent time management and organizational skills with strong attention to detail
  • Ability to multi-task without supervision
  • Ability to work independently as well as collaboratively in a positive team environment
Working Conditions
    Physical Demands
  • The Office Manager will spend long hours sitting and using office equipment and computers, which can cause muscle strain.
  • The Office Manager will also have to do some lifting of supplies and materials from time to time.
    Environmental Conditions
  • The job is located in an office environment in downtown Arcata. The Office Manager must meet with others on a regular basis and is stationed at a desk that is central to the office.
    Sensory Demands
  • The Office Manager will spend long hours on the computer entering thorough information which requires attention to detail and high levels of accuracy.
Schedule and Payrate
  • 4-5 hours/day, 4-5 days per week (20-30 hours per week), a consistent schedule is preferred.
  • Starting pay is $18-22/hour depending on experience.
  • Benefits include paid cell phone plan, health insurance option, vacation and sick pay.
