OFFICE MANAGER
The office manager will be responsible for a diverse set of administrative tasks that organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
Responsibilities
- Manage and coordinate office operations
- Manage office equipment, maintenance and service contracts and systems
- Manage telecommunications (cell phone plan) systems and provide general support to staff
- Control correspondence: answer phones, take and deliver messages, retrieve and send mail
- Work with accounting staff to process and track bills and payments
- Maintain administrative filing system, paper and electronic
- Assist with human resource management: implement policies and procedures, manage benefits administration, orientation and training
- Office scheduling: staff, trucks, and vacations
- General banking: deposits and account maintenance
- Data entry: log scale tickets and forest inventory
- Order office and field supplies
- Make travel arrangements
- Scan or copy files as needed
Education
- Education gained through experience doing similar work is suitable. A college education would be beneficial.
- 3-5 years of experience as an Administrative Assistant or Office Manager is desired.
- Proficient in using computer software, such as MS Office and Quickbooks
- Ability to take initiative, problem solve, and make decisions within job scope
- Schedule management skills
- Good written and oral communication skills
- Strong track record of customer service and effective people skills in a human services environment
- Good understanding of processes, policies and procedures required in a small company environment
- Excellent time management and organizational skills with strong attention to detail
- Ability to multi-task without supervision
- Ability to work independently as well as collaboratively in a positive team environment
Physical Demands
- The Office Manager will spend long hours sitting and using office equipment and computers, which can cause muscle strain.
- The Office Manager will also have to do some lifting of supplies and materials from time to time.
- The job is located in an office environment in downtown Arcata. The Office Manager must meet with others on a regular basis and is stationed at a desk that is central to the office.
- The Office Manager will spend long hours on the computer entering thorough information which requires attention to detail and high levels of accuracy.
- 4-5 hours/day, 4-5 days per week (20-30 hours per week), a consistent schedule is preferred.
- Starting pay is $18-22/hour depending on experience.
